Job Description:
Soundspace is in search of a Facilities Manager who thrives in ensuring the seamless functionality and high standards of facilities in a rapidly evolving environment. With a focus on operations, I.T. installations, construction, upgrades, soundproofing, and quality assurance, the Facilities Manager will play a critical role in shaping the physical spaces that enable Soundspace to revolutionize the music industry. Reporting to the Head of Operations, the candidate will bring experience and insights to optimize and manage facilities operations. Both full-time and fractional candidates are encouraged to apply.
Responsibilities:
Oversee all aspects of facilities management, including maintenance, safety, space planning, and resource allocation.
Lead the implementation and maintenance of I.T. installations and ensure they align with Soundspace’s technological needs.
Manage construction and upgrade projects, ensuring they meet established quality standards and are completed on schedule and within budget.
Implement soundproofing solutions that enhance the acoustic environment for optimal music production and collaboration.
Develop and enforce facility policies and procedures to ensure compliance with regulatory requirements and best practices.
Coordinate with vendors and contractors to manage services such as cleaning, security, and utilities.
Conduct regular facility inspections and assessments, and address any issues in a timely manner.
Manage the allocation and maintenance of office spaces, studios, and equipment.
Collaborate with the operations team to optimize facility-related budgets and expenditures.
Provide regular reports on facilities operations, projects, and expenditures to the Head of Operations.
Qualifications:
Minimum of 5 years of experience in facilities management, preferably in the tech or music industry.
Demonstrated experience in managing I.T. installations, construction projects, and facilities upgrades.
Knowledge of soundproofing techniques and acoustic optimization.
Strong understanding of health and safety regulations, building codes, and compliance standards.
Exceptional project management, problem-solving, and decision-making skills.
Excellent communication and interpersonal skills.
Ability to work in a fast-paced, dynamic environment and manage multiple priorities.

Average Day for a Facilities Manager:
8:00 AM: Arrive at the office and conduct a quick walk-through of the facility to ensure everything is in order.
8:30 AM: Review emails and work orders. Check the facilities management system for any new maintenance requests or incident reports.
9:00 AM: Attend a morning meeting with the operations team to discuss any ongoing projects or issues related to the facilities.
10:00 AM: Monitor the performance of critical systems such as HVAC, lighting, and IT infrastructure, ensuring that they are operating efficiently.
11:00 AM: Meet with vendors or contractors who are on-site, discussing the progress of any ongoing construction or upgrades.
12:00 PM: Lunch break.
1:00 PM: Conduct a soundproofing assessment in the music studios to ensure optimal acoustic conditions.
2:00 PM: Review and update the preventive maintenance schedule. Make arrangements for any upcoming maintenance activities.
3:00 PM: Address any facilities-related issues that have been reported by staff, coordinating with the IT team if necessary.
4:00 PM: Work on budget analysis for facilities operations, looking for ways to optimize costs.
5:00 PM: Plan tasks for the next day, and review performance against KPIs for the day.

Average Week for a Facilities Manager:
Monday:
Set the week's goals and priorities.
Review maintenance schedules and make arrangements for the week.
Check inventory levels of maintenance supplies.
Tuesday:
Conduct safety inspections and ensure compliance with regulations.
Meet with the Head of Operations to discuss ongoing projects and budgetary concerns.
Work on any ongoing facility upgrade projects.
Wednesday:
Focus on energy efficiency initiatives, analyzing energy consumption data.
Meet with an acoustic consultant to discuss soundproofing improvements.
Conduct user satisfaction surveys regarding facility amenities and environment.
Thursday:
Continue addressing maintenance requests and incident reports.
Review vendor and contractor performance and provide feedback if necessary.
Coordinate with the IT department regarding IT installations and their maintenance.
Friday:
Complete weekly report on facilities operations, including KPI performance, and submit to the Head of Operations.
Attend a wrap-up meeting with the operations team to review the week’s achievements and challenges.
